The Adelaide University Student Association Inc (‘AUSA’, ‘the Association’) respects your right to privacy and this policy sets out how we collect and treat your personal information. AUSA abides by the Privacy Act 1988 (Cth) and as such follows the guidelines of the Australian Privacy Principles in its information management practices.

 

Collection of Personal Information:

  • AUSA will only collect the personal information that is necessary for its operations and activities.
  • Your personal information will be collected in a fair and lawful manner, with your knowledge and consent.
  • The AUSA representative will inform you of the purpose for which your personal information is being collected.
  • You may have the option of not identifying yourselves, or of using a pseudonym. However, as AUSA is a member organisation, we will most often be required to identify you to ensure you are an Adelaide University student and a member. Therefore most of our services, including members-only areas on our website, require you to provide us your personal information to gain access.
  • Where reasonable and practical we will collect your personal information only directly from you. However, we will also collect information about you from third parties such as from the University, affiliates, clubs, our contractors who supply services to us, or from other individuals or companies as authorised by you.
  • We collect personal information from individuals in a variety of ways, including: when you interact with us electronically or in person; when you access our website; and when we provide our services to you.
  • We use “cookies” or similar technologies to collect data on our websites. Our website collects the following information from users:
    • the user’s server address.
    • the user’s top level domain name (for example, .com, .gov, .au etc);
    • the date and time of the user’s visit to the site.
    • the pages the user’s accessed.
    • the previous site the user has visited; and
    • the type of browser the user is using.

 

Use and Disclosure of Personal Information:

  • Your personal information will only be used for the purpose for which it was collected.
  • Your personal information will not be disclosed to third parties without your consent, apart from our business partners who assist in the provision of our services to you and except where required by law.
  • If you choose to use our website, we may also collect information about your device and activity on our website through the use of Google Analytics tools. Information collected by the Google Analytics tools does not identify individuals.
  • Our website has links to other sites not owned or controlled by us. We are not responsible for these sites or the consequences of you visiting those sites.
  • From time to time we may use your personal information to notify you of opportunities that we think you might be interested in through our newsletter and communications.
  • You can update your email subscription preferences or unsubscribe by clicking the 'unsubscribe' link at the bottom of our newsletters.

 

Access and Correction of Personal Information:

  • You have the right to access your personal information held by the Association and to request corrections if the information is inaccurate or incomplete.
  • You can access and update your personal information by logging into your web account.
  • It is important to our relationship that the personal information we hold about you is accurate and up to date. During the course of our relationship with you we will ask you to inform us if any of your personal information has changed.
  • If you consider that any information we hold about you is incorrect, you can correct it via your account profile. We will generally rely on you to assist us in informing us if the information we hold about you is inaccurate or incomplete.
  • Any other requests for access or correction should be made in writing to the Information Officer at ausa.governance@adelaide.edu.au.

 

Storage and Security of Personal Information:

  • The association will take reasonable and proportionate steps to protect your personal information from unauthorised access, use, disclosure, alteration, or destruction.
  • Your personal information will be stored securely, whether in physical or electronic form, and access will be restricted to authorised personnel only.

 

Retention and Disposal of Personal Information:

  • Personal information will be retained for as long as necessary to fulfill the purposes for which it was collected or as required by law.
  • When personal information is no longer required, it will be securely disposed of in a manner that protects the confidentiality of the information.
  • You have the right to request that USASA delete your personal information if it is no longer necessary for the purpose for which it was collected, or if you withdraw your consent. Requests for disposal of personal information should be made in writing to the Information Officer at ausa.governance@adelaide.edu.au.

 

Confidentiality Obligations:

  • All current and previous Board members, employees, and volunteers of AUSA and its affiliates and clubs are required to maintain the confidentiality of personal information.
  • Breaches of confidentiality may result in disciplinary action, up to and including termination of employment or legal action.

 

Roles and Responsibilities:

  • AUSA Information Officer: AUSA staff member delegated responsibility for overseeing data management practices, ensuring compliance with this policy, and addressing any data-related concerns. The Information Officer will be the AUSA representative on privacy matters.

  • AUSA and affiliate Board Members, employees, and volunteers: Responsible for following the guidelines set forth in this policy and reporting any data breaches or security concerns to the Information Officer. Non-compliance may result in disciplinary action.
     

Review and Updates:

  • This policy is established as Schedule 1 of the AUSA Privacy and Confidentiality Policy.
  • This policy will be reviewed bi-annually or sooner as required to ensure compliance with the law and to reflect changes in the Association's operations and services.
  • If any significant changes are made to this policy, we will notify you through a notice on our website. For minor changes check back from time to time.
